Operational Policies and Procedures

INSTRUCTIONAL COMPUTING FEES AND REFUNDS

Instructional Computing facilities are fee-based resources. Users must pay an Instructional Computing Use Fee (CF fee) each quarter to gain access. This fee is automatically charged to students who register for classes taught in IC classrooms or taught online, and this will be indicated in the quarterly class schedule. Each student will pay a maximum of 2 CF fees per quarter. Students not registered for classes with the CF fee attached may choose to pay the fee as a "hand load" at the Cashier's office in Building 6 to gain access to IC facilities.

Students who are registered for classes taught in IC facilities or online prior to the start of the quarter, or who pay the CF fee separately prior to the start of the quarter, will have their accounts active on the first day of the quarter. Students who register late or who pay their fee separately after the start of the quarter will have their accounts active on the morning following their registration and/or payment.

Refunds of CF fees will be issued only under the following conditions:

"Hand loaded" CF may be refunded if the student registers for any CF fee class.

During the 100% refund period (normally through the 5th class day of the quarter):

  • Students who withdraw from all classes will get all CF fees refunded, and will no longer have access to IC facilities.

  • Students who paid a "hand loaded" CF fee separate from class registrations may request and receive a refund, and will no longer have access to IC facilities.

  • Students who withdraw from some but not all classes may get a refund, depending on how many CF fees were paid and which classes the student remains registered for. If a refund is requested, IC staff will review the student's registration and determine whether a refund is warranted. If all CF fees paid by a student are refunded, they will no longer have access to IC facilities.

During the 40% refund period (normally through the 16th class day of the quarter):

  • Students who have used IC facilities (i.e. logged in) during the quarter will not be given a refund. If a student has not used the IC facilities, the 100% refund period criteria will apply. If all CF fees paid by a student are refunded, they will no longer have access to IC facilities.

After the 40% refund period, no refunds will be given.
